The Challenge

Stage Act identified a significant gap in the live entertainment market. The talent booking process was fragmented, manual, and inefficient, relying heavily on emails, spreadsheets and phone calls. Venue owners struggled to manage bookings across multiple locations. Performers had no centralised way to showcase their work or manage availability. Creating invoices and contracts, and coordinating schedules, were manual, time-consuming tasks.

Stage Act® wanted to take all of that pain away, by developing a new, end-to-end digital solution that would connect acts, agents, bookers and brands in one unified location, and enable them to make bookings, manage their schedules, and handle contracts and payments seamlessly.

Our Solution

Clock undertook a thorough discovery process, including multiple stakeholder interviews with venue managers, performers, and the StageAct team, to understand each workflow in detail. We mapped out the entire booking lifecycle—from initial talent discovery through to performance completion and payment.

We then reimagined these processes as a unified digital experience, underpinned by Payload CMS, an open-source headless content management system that would provide the flexibility to handle complex workflows while maintaining simplicity for end users.

Platform Architecture

Built on Payload CMS, an open-source headless content management system that provides the flexibility needed to manage complex booking workflows. The architecture supports three distinct user types—venue owners, performers, and StageAct administrators—each with their own interfaces and permissions.

User Experience Design

Redesigned fragmented manual processes into intuitive digital workflows. Created separate optimised experiences for venue managers booking multiple acts across locations, performers managing their profiles and availability, and administrators overseeing the entire ecosystem.

Booking & Schedule Management

Implemented a sophisticated calendar system allowing venue owners to book multiple acts for multiple locations simultaneously. The system handles conflicts, availability checks, and automated notifications—replacing what was previously managed through spreadsheets and email chains.

Automated Billing & Invoicing

Developed location-based billing automation that generates invoices based on bookings, performances, and venue-specific rates. This eliminated manual invoice creation and reduced administrative overhead significantly.
